How to install Mail Merge for Gmail add-on in your Google Sheets

On this page, you will find the 2 steps to install Mail Merge for Gmail Tools and how to access it.

There is a quick video if you don't have the time to read the documentation.

### Install Mail Merge for Gmail <a href="#h.yh7yiptzhjsv_l" id="h.yh7yiptzhjsv_l"></a>

Install Mail Merge for Gmail from the [Google Workspace marketplace](https://workspace.google.com/marketplace/app/mail_merge_for_gmail_how/57033717989) if you haven’t already done so by clicking on the “Install” button.

* A pop-up will ask for your authorization to install the add-on, click on Continue
* Another popup will ask you for some permissions, click on "Allow"

After the installation (it usually takes less than 15 seconds) you will get a popup, saying that the add-on has been installed.

The next step is to open the add-on and let the magic happen.

### Launch Mail Merge for Gmail <a href="#h.4p9vsne6s5z4_l" id="h.4p9vsne6s5z4_l"></a>

* Open Google Sheets (if Google Sheets was already opened, refresh the page)
* Add-ons take around 15s to load after you opened Google Sheets.
* Go to Extensions / Mail Merge For Gmail / Start ... there you go!

### Installation issues: <a href="#h.2zr90orf384h_l" id="h.2zr90orf384h_l"></a>

There are two known issues that we can't fix, as it doesn't depend on Mail Merge for Gmail:

**1- The add-on doesn't seem to be installed successfully / I never get the "add-on installed successfully" popup:**

This issue can occur when you sign in to Google accounts, and you are not using the principal account for installation. An easy workaround is to open a private window, sign in to the Google account you want, and then proceed to the installation.

**2- After successful installation, Merge for Gmail is not visible in Google Sheets:**

Simply refresh Google Sheets, wait for 10 seconds, and it should appear in the menu!


# Mail Merge Tutorial

Follow these simple steps to send your first emails with Mail Merge.

First, make sure you have installed Mail Merge for Gmail from the [Google Workspace Marketplace](https://workspace.google.com/marketplace/app/mail_merge_for_gmail_how/57033717989). Once installed, let's see how to personalize and send your first emails.

## Personalize your email content

With Mail Merge for Gmail📣, **you can change the content of each email received** by each recipient. This is what we call personalization.

### Start with the Google Sheet content

The idea is simple, in your Google Sheet, **each row will represent an email.** The minimal requirement to send a campaign is to have a column with all the recipients *(Column "A" in the screenshot below)*.

You can add as many columns as you want, and you will be able to retrieve them in the template editor. *( Column Name / Company ...)*

### Customize your email template

In the template editor, You are now able to retrieve your Spreadsheet data to customize your emails, through what we call **merge tags.**

Merge tags are simply names of your columns, surrounded with characters {{ }}. For instance, if you want to use the "Name" column in your template, bring it with {{ Name}}.

You don't have to type merge tags, just use our dropdown menu :

## Personalize your email subject

To customize your email subject, you can also use Merge tags. For instance, if your Google Sheets contains a column "Name", **you can customize your email subject using merge tag** "{{Name}}" as shown below:

To add a hyperlink, from the template editor, go to advanced options, click on "insert link" and set up your link.

You can set the URL, the text displayed, the text displayed when the reader hovers the text (Title), and the behavior of the click ( open a new tab, or open in the current windows).


# Attachments

### How to send an attachment with Mail Merge for Gmail <a href="#h.iztay2rlnphv_l" id="h.iztay2rlnphv_l"></a>

There are some limitations to this feature:

* The attachment has to be present in your (or in a public) Google Drive
* Attachment size should be under 5 Mb

### Attachment process <a href="#h.rp1fefblxvjo_l" id="h.rp1fefblxvjo_l"></a>

Here are the steps to follow :

1. If your attachment is not yet in your Google Drive, follow the optional step [described below.](#h.rp1fefblxvjo_l-2)
2. Expand options with the button "more options" from the add-on, then click on the Google Drive™ icon.
3. Select the document, image, archive... you want to add in the popup and click on "Select".

### Optional : Add the attachment to your Google Drive (optional) <a href="#h.rp1fefblxvjo_l" id="h.rp1fefblxvjo_l"></a>

If not done yet, here is how to add a file to Google Drive :

1. From [Google Drive](https://drive.google.com/drive/my-drive), locate and select the **New** button, then select **File upload**.
2. Locate and **select the** **file(s)** you want to upload on your computer, then click **Open**.
3. The File is now visible in your **Google Drive**.
4. Don't close Google Drive right now, we will need it in the next step !

### Attachment issues: <a href="#h.e0w4cxplbpwm_l" id="h.e0w4cxplbpwm_l"></a>

Here are the most common errors encountered with attachments:

**1- Message "Attachment Error, Limit Exceeded: Email Total Attachments Size should not exceed 5Mb":**

There is a limit on the size you are allowed to send with Gmail (It's a limitation decided by Google), we can't do anything about that.


# Multiple recipients

In this page, you will learn how to add multiple recipients in Mail Merge for Gmail

### How to add multiple recipients in Mail Merge <a href="#h.lqah32qvi41l_l" id="h.lqah32qvi41l_l"></a>

There are multiple ways to add multiple recipients to a single email: either by adding CC or BCC fields, or directly by adding multiple emails in the recipient field. Let's see how to proceed.

### Add multiple recipients, eventually CC and BCC column in your Spreadsheet: <a href="#h.7gjncqo4r69_l" id="h.7gjncqo4r69_l"></a>

To add multiple recipients, simply type emails in your recipient column, separated by commas.

*ex: <nathan@company.com>, <mathias@company.com>*

### (Optional) Add CC and BCC column in your Spreadsheet : <a href="#h.wes2cpwybyh_l" id="h.wes2cpwybyh_l"></a>

If you want to add **CC** (Carbon Copy) and/or **BCC** (Blind Carbon Copy):

* You need to create one distinct column for CC and one other for BCC
* same as recipients, you can add a single email or multiple emails separated by character comma.

### Setup CC & BCC in Mail Merge for Gmail <a href="#h.me3e303zmxgf_l" id="h.me3e303zmxgf_l"></a>

At this step you need to "tell" **Mail Merge for Gmail** that you have columns with emails and you want to use them as CC and/or BCC.

* In the add-on, click on "**More options**"
* Select the right column for "**CC**" and/or "**BCC**".
* If everything is ok, the preview should now show CC and / or BCC according to your data.

### Quotas & Multi-recipients: <a href="#h.g3pyytes0e9e_l" id="h.g3pyytes0e9e_l"></a>

Using the multi-recipients feature in **Mail Merge for Gmail** has a direct effect on your daily quota:

* If you are sending one email with 1 person in CC and 1 in BCC, in reality, your email will be sent to 3 people, your daily quota will be reduced by 3 after the send.
* If you are sending one email with 3 people and 2 in CC, your daily quota will be reduced by 5 (3+2) after the send.


# Images

On this page, you will learn about the different ways to add an Image to your Mail Merge template

Adding visible images to an email is possible with Mail Merge for Gmail. There are 3 possibilities:

* the **image is located on your computer**, read [Insert a local image](#insert-a-local-image)
* the **image is located on your Google Drive**, read [Insert an image from Google Drive™](#insert-an-image-from-google-drive-tm)
* the **image is available through a public URL**, read [Insert a distant image](#insert-a-distant-image)

After being added to the template, you can still edit the image, see Edit an image.

the image size, orientation, and alignment can be edited, just click on the image to display the image toolbox.

## Insert a local image

You can't directly add a local image to your email, because it has to be accessible online! You can use a hosting service, **but we provide a convenient (and free) solution**: host your images on Google Drive:

* Go to <https://drive.google.com/drive/my-drive>

* Set the permissions to **"Anyone with the link"** / **"Viewer"**. :warning: :warning:Be careful, if you set "Editor", everyone will able to change your image which is probably not something you wish.:warning::warning:

## Insert an image from Google Drive™

To add a Google Drive-hosted image to your emails, from the editor click on the Google Drive image icon ![](https://github.com/mailmergehow/mailmergehow-documentation/blob/main/.gitbook/assets/gdrive%20icon.png). This will open a modal, allowing you to choose your Google Drive image.

Before inserting the image in the template, Mail Merge will check permissions on the image. If you have an error message, read the [previous chapter](#insert-a-local-image) to discover how to properly set permissions

If you want to change the Alternative Description or Image size, you can now[ edit the image](#undefined) directly from the template.

## Insert a distant image

To add a remote picture to your emails, from the editor click on the image icon ![](https://github.com/mailmergehow/mailmergehow-documentation/blob/main/.gitbook/assets/remotepiclogo.png). This will open a modal, allowing you to insert your picture's "source" URL.

Optionally, you can add an alternative description and define the size of the image.

## Edit an image

# Email Tracking

On this page, you will learn how to know if your emails sent with Mail Merge for Gmail📣have been opened.

## How to enable email tracking?

To activate tracking, simply tick "Track emails" in the add-on

## How will tracking look like ?

Tracking status will be available in your spreadsheet. When the email will be opened, the status will change from "Sent" to "Read" :

## When is the tracking status updated ?

Tracking status is updated when your Google Sheets is loaded, but you can refresh it at any time going to *Menu / Extensions / Mail Merge for Gmail📣 / 🔄 Refresh tracking*


# Unsubscribe link

Adding an unsubscribe link lets your recipients opt out of your emails, thus reducing the risk of being flagged as spam, and to have a cleaner mailing list.

### How to include an unsubscribe link?

There are 2 ways to include an unsubscribe link in your template with different advantages :

1. [Insert the standardized unsubscribe complete footer](#insert-the-standardized-unsubscribe-footer) - takes a second, and looks very standard
2. [Insert an unsubscribe link](#insert-an-unsubscribe-link) - more customizable

### How would it look for my recipients?

Whenever one of your recipients clicks to unsubscribe, they will be redirected to a page like the following:

### How would it look to me?

When one of your recipients unsubscribe, you will know it through the tracking status of your campaign :

### Insert the standardized unsubscribe footer :

1. From the template editor, click on the "Unsubscribe footer" icon 🔕.
2. Click on the "Insert Unsubscribe footer" button and you are done.

### Insert an unsubscribe link

To add an unsubscribe link, you will need to insert the unsubscribe variable as shown below. It will be replaced by a special link that Mail Merge for Gmail uses to handle unsubscribes.

Here's how to do it:

1. In Mail Merge for Gmail, open your template or create a new one.
2. In the editor, add the following text "*Click here to unsubscribe*" (or any other message of your choice)
3. Select the text then click on **Insert/Edit link** 🔗
4. In the "Insert/Edit link" popup, select "Unsubscribe" in the dropdown "Link List"
5. Click "Save"

When sending your emails, Mail Merge for Gmail will automatically convert the special variable with a unique unsubscribe link letting each of your contact opting-out easily, **so be careful to not change the URL by yourself.**

Please not than in the template editor, the unsubscribe link is not active.

### How can I get my invoices/receipt ?

Just open the add-on and go to your account, using the button at the bottom right of the main screen. From here you can download all your invoices.

### How to cancel my subscription?

You can cancel your subscription anytime. Just open the add-on and go to your account, using the button at the bottom right of the main screen. From here you can manage your subscription.

### If I cancel my susbcription is my premium account immediately closed ?

You can cancel your subscription anytime, it will remain active until the end of the billing period, but you will not be charged anymore.

### I have subscribed to a premium plan but the watermark is still present ?

It's very likely that your bank declined the payment, you can contact us at <contact@mailmergehow.com> we will directly tell you the reason
